Overview:
We are seeking a highly organized and detail-oriented Office Assistant to join our team. As an Office Assistant, you will play a crucial role in ensuring the smooth operation of our office and providing administrative support to our team. This is a full-time position with opportunities for growth and development.
Responsibilities:
- Perform general administrative tasks such as answering phone calls, responding to emails, and managing correspondence
- Maintain office supplies and equipment, ensuring they are well-stocked and in working order
- Assist with bookkeeping tasks, including data entry and managing invoices
- Coordinate and schedule appointments, meetings, and events
- Manage calendars, ensuring all appointments are accurately recorded and reminders are set
- Organize and maintain physical and digital files, ensuring documents are properly labeled and easily accessible
- Provide exceptional customer and employee support, addressing inquiries and resolving issues in a timely manner
- Assist with basic office management tasks, such as ordering office supplies, coordinating repairs, and managing vendor relationships
- Assist prospective employees with the job application process
- Assist with new hire processing, including onboarding paperwork, new hire training, badge creation,
- Assist with managing time off requests and associated calendar
- Assist employees with accessing the employee portal and supply vending machines
- Assisting management with Food Safety and Health & Safety enforcement and compliance
- Support the team with various administrative tasks as needed
Skills:
- Strong administrative skills with the ability to multitask and prioritize effectively
- Excellent phone etiquette and communication skills
- Proficiency in QuickBooks or similar accounting software
- Knowledge of office management procedures and basic bookkeeping principles
- Strong attention to detail and accuracy in data entry and record keeping
- Proficiency in using M365 to create and collaborate.
- Ability to manage calendars effectively and coordinate schedules
